We want to provide you with the best experience possible and ensure that you have a wonderful time exploring the Nordic countries and the arctic circle. To ensure that we are transparent about our policies, we have created the following terms and conditions:
1. Northern lights viewing: While we will do our very best to provide you with the opportunity to see the Northern Lights during our tours, we cannot guarantee that you will have this experience. Due to weather conditions and other factors beyond our control, we cannot guarantee the possibility of seeing the northern lights. However, we will make every effort to maximize your chances of seeing this natural phenomenon.
2. Travel insurance: Smooth Aurora Travels is not responsible for guests' insurance or costs for their travel before and after the event dates. If your flight is canceled or delayed, you will need to bear any additional costs related to your travel.
3. Payment Options and Failures:
Customers can choose to pay the full amount upfront or opt for a partial payment plan. In the case of partial payment, a non-refundable deposit of 30% of the total cost is required at the time of booking, with the remaining balance due no later than two months before the event. If a payment fails, our system will automatically attempt to charge the payment method on file two more times, with a delay of two days between each attempt. In the event of a failed payment, customers will receive an email notification. Additionally, a payment reminder will be sent out one day before the next scheduled payment. Failure to complete the payment within the specified time, even after the retries, will result in the cancellation of the reservation without a refund.
4. Cancellation policy: Guests are required to pay a deposit to secure their spot for a specific date. If you need to cancel your booking, you will receive a refund if there are more than three months left until the set date, except for the cost of the non-refundable deposit. For the cancellation to be valid, this must be done via email to info@smoothaurora.com within 3 months of the event. Transferring your booked spot to another person is possible, but we also reserve the right to refuse without explanation.
